How to Record a Payment

Record an offline invoice payment with its amount, date, method, and scheduled-payment link.

Use Record payment for money received outside the client’s online card checkout.

  1. When to use Record payment

Record payments received outside online checkout. This does not charge a card or transfer money.

    • Use it for an e-transfer, bank transfer, cash payment, credit recorded outside online checkout, or another received payment method.
    • Do not use it for a payment that already appears from the client’s online card checkout.
    • Use the actual received amount and date rather than the amount you expected to receive.
  2. Open the correct invoice

    1. 1.

      Open Financials > Invoice.

    2. 2.

Choose All, Weddings, or Other when a tab helps narrow the list.

    3. 3.

Find the client and compare the invoice total and balance before opening the row.

    4. 4.

      Select the invoice.

    5. 5.

      Select Record payment.

  3. Enter the payment details

Enter the amount and date received:

    1. 1.

If the invoice has more than one unpaid schedule, choose the correct item under Select payment.

    2. 2.

Confirm or enter the Payable amount.

    3. 3.

Enter the date received under Payment date.

    4. 4.

Select E-transfer, Bank transfer, Cash, Credit, or Other under Payment method.

    5. 5.

When choosing Other, enter a clear Payment method type.

  4. Check the amount safeguards

The amount cannot exceed the scheduled payment’s remaining amount or the invoice balance. If Lemlii flags a similar payment, check its amount, date, and method to avoid a duplicate.

  5. Save the payment

    1. 1.

      Select Record Payment.

    2. 2.

Reopen the invoice detail if it is not already visible.

    3. 3.

Confirm Paid increased by the exact amount entered.

    4. 4.

Confirm Balance decreased by the same amount.

    5. 5.

Review the selected scheduled payment and the new entry under Payment history.

Notes

  • The amount defaults to the selected scheduled payment’s remaining balance or the invoice balance.
  • Recording a payment does not charge a card.
