How to Mark an Invoice as Paid

Record each outstanding scheduled balance so the invoice reaches a zero balance and paid status.

An invoice becomes paid when its balance reaches zero. There is no separate Mark paid button.

  1. Understand what changes an invoice to paid

The invoice becomes paid when recorded payments cover its balance. Only record money you have received.

  2. Review the outstanding schedule

Open Financials > Invoice, select the invoice, and compare the remaining Balance with its Scheduled payments.

    • A fully outstanding schedule has not received its expected amount.
    • A partially paid schedule still shows an amount remaining.
    • With several schedules, each payment must be applied to the appropriate outstanding item.
    • An online card payment already recorded by Lemlii should not be entered again manually.
  3. Record the next amount received

    For each payment received:

    1. 1.

      Select Record payment.

    2. 2.

Choose the outstanding schedule under Select payment.

    3. 3.

Enter the actual amount received for that schedule.

    4. 4.

Enter the Payment date and Payment method.

    5. 5.

      Select Record Payment.

  4. If the invoice has more than one scheduled payment

Record each payment against its schedule. You cannot enter more than that schedule’s remaining amount. Partial payments leave a balance due.

  5. Confirm the invoice is fully paid

When all payments have been recorded:

    • Balance is zero.
    • The invoice status shows paid.
    • Each applicable scheduled payment is complete.
    • Every received amount appears once in Payment history.
  6. If the invoice still shows an amount due

Compare Payment history with the remaining balance. Any unpaid amount stays due until payment arrives.

Notes

  • Use the real received amount. A partial amount leaves the invoice partially paid or outstanding.
  • Online card payments are added to the invoice automatically, so do not record them a second time manually.
